Scheduling is the receptionist’s ability to offer available times and book, reschedule or cancel appointments for a caller during the call.

Booking is the most common concrete outcome a caller wants, and the one most often lost when a call goes to voicemail. Scheduling lets the receptionist close the loop on the call: read availability, offer options, confirm a choice, and record it.

Availability can come from a connected calendar (calendar booking) or from a schedule kept inside the product. Either way the receptionist needs rules: business hours, appointment length, buffers, and what to do when a slot is taken between offer and confirmation.

A confirmation to the caller afterwards, by SMS or email, reduces no-shows and gives the caller a chance to correct a mistake.
