aiReceptionist + Calendly

Let the receptionist book callers straight into your Calendly event types, from live availability.

Scheduling on a call only works when the calendar is checked at that moment. aiReceptionist reads what’s free before offering a time, so you are never double-booked. Calendly is one of the calendars it books into.

How Calendly works with aiReceptionist

  1. Connect your calendar

Link the calendar the receptionist should book into and choose which event types callers may book. Buffers and working hours stay where you set them.

  2. The receptionist checks availability on the call

When a caller asks for an appointment, the receptionist checks what’s free and offers only open times.

  3. The caller picks a time

The appointment is created against the caller’s name and number, and the slot is no longer offered to anyone else.

  4. Your calendar does the rest

Calendly’s own confirmations, reminders and rescheduling links apply to the booking, the same as bookings made on your page.

What moves, and when

After the call means a record is pushed once the conversation ends. During the call means the receptionist reads or writes the system while the caller is on the line. Post-call vs real-time, defined.

Questions

Does the receptionist see my whole calendar?
It reads availability for the event types you choose to expose, and it writes the bookings callers make. You decide which event types are bookable.
What if the caller wants a time that is not free?
The receptionist offers the nearest free times instead. It checks availability before offering a slot, so it never books over an existing appointment.
Can I use a different calendar?
Yes. Calendly is one option. Scheduling works from what’s free on the calendar you connect. See the integrations page for the calendars currently listed.
Is this available on my plan?
The availability block on this page shows the current status of the Calendly connection and of scheduling generally, by plan.
